Steps to locate missing transactions in QuickBooks Desktop

  • First of all, check the Audit Trail: – In checking the Audit Trial report, you would be able to see all the transactions that have been entered in your company file, even those which have been deleted. In order to open the Audit Trail report, open the Reports menu, and then select Accountant & Taxes, and finally, Audit Trail. Even after going through the Audit Trail report if you cannot locate your missing transaction, then move onto the next section.
  • Check for the multiple company files: – If the Audit Trail report is not allowing you to locate any missing information, you should check for the possibility that you have someone working in a different company file than everyone else. To do so, open the QuickBooks, sign in to your company accounts, and then press the F2 key this will bring up the Product Information window.  This window shows information about your currently open company file. Now, confirm the file path location with the company file that everyone else is working in.
  • A Condense has been run: – Last thing you need to confirm is, if there has been a Condense ran recently. It is a feature that helps remove information prior to a cutoff date. It is typically run when attempting to reduce the file size of your company file or for other reasons. In order to check, if one Condense has run, go back to the Product Information screen by pressing F2 and at the right-hand side, there will be a Condense Information section. In case, if there is a date that is after the date of the transaction which you are looking for, then this could be an indicator that your transaction was removed because of a condense.
  • Re-enter the missing transactions: – At this point, when you have searched for the Audit Trail, checking for multiple company files, and checking for a condense ran, if you are still not able to locate your missing transaction, then your best option would be to go ahead and re-enter it.
